You keep an eye on two dates: the 3rd and the 10th of the month. I remind you of both three days before, and the other two deadlines are down to me.

When you pay less

Several companies with one owner

The second and every further company with the same owner gets a monthly fee 15% lower. You send the paperwork in one message, and I bill on one invoice.

Paying a year in advance

If you pay twelve months at once, the fee is 5% lower. If you end our arrangement early, I refund the unused part.

Dormant company

I look after a company with no sales and no employees for €25 a month. That includes nil returns, the accounts and filing with the CRO.

I invoice once a month, on 14-day terms. Prices in this example are for illustration. You get a specific quote once I've looked at a sample of your paperwork.

Meetings in person are always by appointment, not drop-in. I empty the box by the entrance every working day at 16.00 and confirm receipt by message. An online meeting takes thirty minutes; I'll send the video call link with the confirmation.

Getting here and parking

  • By car: two reserved spaces in the courtyard, free for clients for the first two hours. The entrance is from Tollgate Street; I'll open the barrier when you ring.
  • Street parking: Tollgate Street is pay parking at €2 an hour, paid at the machine by the building entrance.
  • By public transport: the stop is a three-minute walk, served by buses and the Luas from the city centre and the suburbs.
  • By train or coach: ten minutes' walk from the main station, all on the flat, with no steps and no busy roads to cross.
  • Accessibility: the office is on the ground floor, the building entrance is step-free, the doors are 90 cm wide and there's an accessible toilet in the building.
  • With a buggy: the front door can be held open, and there's room for a buggy in the office.

First meeting

Bring last month's bank statement and five typical invoices. From those I can tell the volume of paperwork and the final monthly fee. The meeting takes twenty to thirty minutes, and I don't charge for it.

We can do the same by video call or phone. In that case, send me the documents through the shared folder.

Who works on your books

  • Your accountant One person looks after your books all year and answers you directly, within 24 hours on working days.
  • Payroll administrator Runs payroll for employees and casual staff and deals with Revenue on payroll. Only involved if you have staff.
  • Chartered tax adviser An external partner for more complex questions, such as selling a business, cross-border work or transactions between connected parties.
  • Holiday cover While I'm away, a colleague with access to the same records takes over. You'll get their name and number at least a week in advance.

10 Payment

Invoicing and payment

You pay once a month by bank transfer. Below is exactly when the invoice arrives, what it itemises and what happens if payment is late.

When I invoice, and for what

Invoice date
I issue the invoice on the first working day for the previous month. Payment terms are 14 days.
What's on the invoice
A separate line for the monthly fee, and separate lines for extra documents, payroll and one-off work. You get the breakdown attached — nothing is hidden in a single figure.
One-off work
I invoice only once it's done. I give you the price in writing in advance and don't start without your agreement.
Paying a year in advance
Twelve months at once is 5% cheaper. If you end our arrangement early, I refund the unused part within 14 days.
Increasing the fee
If your workload grows beyond what's included for a sustained period, I'll let you know a month in advance. The new price only applies from the following month, and you have to agree to it.
Discount for several companies
The second and every further company with the same owner gets a fee 15% lower, all on one invoice.

If an invoice isn't paid

  • Three days after the due date I'll send a reminder and call. I assume it's an oversight.
  • Fourteen days after the due date I pause further work, and I'll tell you in advance so it doesn't come as a surprise.
  • I always complete filings with a legal deadline, even if the invoice isn't paid. I don't want you to end up with a penalty.
  • Late payment interest — I don't charge it unless payment is more than 30 days late.
  • I never hold your records back over payment. Unpaid invoices are dealt with separately.

11 Cancellations

Rescheduling, cancelling and ending our arrangement

Appointments can be moved or cancelled. You can end our arrangement at the end of any month, and get your records back within ten working days.

Ending our arrangement

Notice period
One month, ending on the last day of the calendar month. No year-long tie-in and no minimum number of months.
Early termination fee
None. If it's not working for you, there's no point holding you to a contract.
Handing back your records
Within 10 working days of the end, you get your complete records electronically and on paper, including the journal, the debtor and creditor ledgers and payroll records.
Working with your new accountant
I answer their questions for 30 days after we finish, also free of charge.

Responsibility for mistakes

  • I'm responsible for my own mistakes and hold professional indemnity insurance. If a penalty arises from my error, I pay it.
  • For paperwork delivered late, the client is responsible. That's why I tell you the deadlines in advance and remind you three days before.
  • I own up to my mistakes myself and tell you how and by when I'll fix them. I don't wait for you to find them.
  • Amended and late returns after my mistake are free of charge.

12 Data

Records, confidentiality and data protection

Where your records are kept, who can see them and how long I keep them.

Where your data is

  • Encrypted storage in the European Union with two-step login and a daily backup to a second location.
  • Paper records are kept in a locked room in the office. Only the person who looks after your books, and their holiday cover, can access them.
  • Documents are transferred through a password-protected shared folder or in person. I never send sensitive attachments unsecured.
  • Confidentiality has no time limit, and continues after our arrangement ends.
  • A data processing agreement under the GDPR is part of the engagement letter. You don't need to ask for it separately.

Who can access your data

Your accountant
Full access to your records. The only person you normally deal with.
Payroll administrator
Only the payroll side, and only if you have staff.
Chartered tax adviser
Only for a specific question we're working on together, and only with your knowledge.
Public bodies
Revenue, the Department of Social Protection and the CRO, to the extent of the filings I make on your behalf as your agent.
Archive
I keep records for the period required by law (six years). After that, I return them to you or, by agreement, have them securely destroyed and give you confirmation.

Vacancy and work placement

I'm looking for one person who can run full accounts independently. The portfolio is 15 to 20 clients, and the salary is from €40,000 gross a year, full-time.

Accountant

Hours
Full-time, or part-time from three days a week. Flexible start times, two days a week from home.
Place of work
21 Tollgate Street, Dublin 2. The office is on the ground floor, with parking in the courtyard.
What you'll do
Look after your own portfolio of 15 to 20 clients, from paperwork to year-end accounts, including VAT and client contact.
What I'm looking for
At least two years' experience of full accounts, VAT experience and reliability with deadlines. Payroll isn't required — we'll teach you.
Pay
From €40,000 gross a year full-time, depending on experience. After a year, the portfolio and the salary are reviewed.
What I offer
A fixed number of clients per person, paid training and professional fees, holiday cover and no overtime except in March and June.

Placements for students and graduates

Twice a year I take on one person for a paid three-month placement. You'll sort paperwork, post everyday transactions and help prepare year-end figures, with supervision. The pay is €15 an hour.

At the end you get a written assessment and a reference, even if you don't stay on. Placements always start in February or September.

How to apply

FAQ

Answers to what clients ask before signing.

Can I switch to you mid-year?

Yes. From your previous accountant I need the journal or nominal ledger, the debtor and creditor ledgers, the asset register and payroll records. I check the data and tell you what's open and what needs putting right. I don't charge for this check.

When do I need to send you my paperwork?

Ordinary paperwork by the 10th of the following month, payroll details by the 3rd. With monthly VAT returns the deadline is tighter, and we'll agree it on the first call.

What if a document is missing?

I can usually identify a missing document from the bank account and tell you which one it is. If it can't be found, I'll tell you the effect on tax and VAT before the return is filed.

Who's responsible if there's a penalty?

I'm responsible for mistakes on my side, and I hold professional indemnity insurance. If a penalty arises from paperwork delivered after the agreed date, that's down to the client. That's why I tell you the deadlines in advance and remind you.

What do you do when a letter or an audit notice comes from Revenue?

Forward me the letter and I'll prepare the reply and the paperwork. For an audit, I deal with Revenue directly as your agent, and you only need to be there if necessary. The Standard plan includes three hours and the Extended plan has unlimited representation; outside a plan, the rate is €35 an hour.

Do I need to buy accounting software?

No. I use my own software, and you get the output as PDFs. If you already have an invoicing system, I can import data from it.

Do you do the accounts for online shops and sales abroad?

Yes. I match payments from gateways and cash on delivery, deal with returns, and handle OSS for sales to consumers in other EU countries. With larger volumes we set up automatic import, so the number of documents doesn't push up the fee unnecessarily.

My company isn't trading. Do I have to pay the full fee?

No. I look after a company with no sales and no employees for €25 a month. That includes nil returns, the accounts and filing with the CRO. Once the company starts trading, we move to a normal plan from the following month.

Am I claiming all the expenses I'm entitled to?

I go through your real figures before the return is filed and tell you in euro what each claim is worth. Some claims need more record-keeping, so I factor in the time and cost of processing too.

How do we keep in touch?

You write directly to the accountant who looks after your books, not a general inbox. The form on this page gets a reply within 24 hours on working days, and the phone is answered from 9.00 to 16.00. Queries during the year are included in the monthly fee.
